Thank you for your interest in helping the Oromocto & Area SPCA. We are thrilled that you have chosen to help raise funds for the Oromocto & Area SPCA that will benefit the hundreds of homeless animals that we care for throughout the year. Annually, the Oromocto & Area SPCA holds a Fundraising Meeting to determine dates specifically for our already established annual fundraisers. Other fundraisers that are not already included in our established events must be Third Party Events. No matter how large or small, your contribution will make a big difference in the lives of our animals.
All event applications must be approved prior to promoting or executing any third party event by our Board of Directors. Please complete and submit your Event Proposal Form at least one month before the event date.
What is a Third Party Event?
A Third Party Even means that the entire planning committee for the event must not involve staff/board members and that the event itself is entirely volunteer-driven.
The Oromocto & Area SPCA may provide:
- Limited promotional supplies such as brochures, newsletters and logo
- Listing the event in our newsletter and website (when available)
- Advice on event planning
- A letter of support that validates the authenticity of the event (upon request)
- An Oromocto & Area SPCA representative may be available to accept a cheque presentation or attend an event if you request it. (Guest attendees from the Oromocto & Area SPCA receive complimentary tickets or admission when invited to speak or attend a third party event).
The Oromocto & Area SPCA cannot provide the following:
- Funding or reimbursement for any event expense
- Mail/email lists such as donor lists (Our policy is to protect the privacy of our donors/volunteers/members)
- Volunteers, staff or Board members to work event due to limited resources
- Applications for gaming licenses (i.e.: bingos, raffles or lotteries)
- Permits, licenses and insurance
- Prizes, auction items, awards
- Guaranteed staff/board representation to attend or participate in the event
- OSPCA animals
Rules & Regulations:
General
The Event Proposal Form must be submitted to the Oromocto & Area SPCA one month prior to publicizing or holding the event.
The Oromocto & Area SPCA reserves the right to withdraw the use of its name at any time, and will not assume any costs that may be involved in doing so.
The event organizer will provide staffing and volunteers for the special event.
As your Charity of Choice, the Oromocto & Area SPCA will be the beneficiary of proceeds from the third party event and will not assume any legal or financial responsibility for the event or persons associated with the event.
If the event is cancelled, the event organizer agrees to contact the Oromocto & Area SPCA at least 48 hours prior to the event.
The Oromocto & Area SPCA is not responsible for any damage or accidents to persons or property.
The Oromocto & Area SPCA does NOT approve the following type of third party event:
- Programs that involve a professional fundraiser, telemarketing and/or and agreement to raise funds on commission, bonus or percentage basis (with the exception of cause related marketing programs developed with corporate partners, ie: New Building Capital Campaign)
- Vending machine sales
- Involve promotion of a political party, candidate or appears to endorse a politician
- Any event that condones or may be perceived to condone animal cruelty or irresponsible pet ownership in any way.
Financial
The Oromocto & Area SPCA has a legal obligation to conform to Canada Revenue Agency (CRA) guidelines for charitable organizations. To ensure there is a distinction between the Oromocto & Area SPCA and all third party events, the organizer must handle all monies until the official donation is submitted to the Oromocto & Area SPCA
All security deposits are to be paid directly by the event organizer (i.e.: conference rooms, table rentals, etc.)
Monies raised must be received within 30 days of the event. In order to keep administrative costs down, we ask that you make every effort to submit one cheque (made payable to the Oromocto & Area SPCA) and include a letter outlining the event name, date of event and any other pertinent information.
If there are pledge forms to submit for your event, please attach one cheque for the overall balance with the pledge form.
In the event that you cannot meet the 30-day deadline, please contact the Oromocto & Area SPCA with an explanation.
A financial accounting of the event income and expenses may be requested by the Oromocto & Area SPCA upon completion of the event.
Tax Receipts
The Oromocto & Area SPCA is a registered charity and will be pleased to issue charitable tax receipts upon request if the following Canada Revenue Agency conditions apply:
- The Oromocto & Area SPCA requires an accounting record detailing donations and expenses for your event.
- The Oromocto & Area SPCA has the right to audit the financial records pertaining to your event.
- Tax receipts can be issued to event donors providing the following conditions are met:
- The Oromocto & Area SPCA’s charitable registration number is displayed on event materials
- The Oromocto & Area SPCA receives a clearly written list of the names and addresses of the donors, together with their donation amount;
- Donors have not received a product or other tangible benefit or item in exchange for their donation (i.e.: a meal)
- Special tax receipting rules apply to events where an admission or entry fee includes both payment for a tangible benefit and donation above the real value of the benefit (i.e.: golf tournament entry fee, dinner auction) If your event is of this nature, please contact the CRA for official guidelines and expectations.
- The Oromocto & Area SPCA CANNOT issue tax receipts for donated services or paid services (i.e.: graphic design, advertising, construction, entertainment, tent set-up, etc.) or for product sales.
- It is not the Oromocto & Area SPCA’s practice to issue tax receipts for donated goods or gifts in-kind for third party events. Exceptions may be made in some cases where OSPCA approval is granted prior to the event.
Promotion
If the Oromocto & Area SPCA logo or name is to be used in any promotional material, it must be approved by the Board of Directors.
The event organizer assumes complete responsibility for making media contacts and it must be made clear that the Oromocto & Area SPCA is NOT the organization requesting the participation of the media.
Existing Oromocto & Area SPCA advertising must not be used to benefit the event unless at the discretion of the OSPCA.
All information (ads, flyers, etc.) must be submitted and reviewed by the Board of Directors of the OSPCA prior to promotion for the event.
